Using the Client Portal (From Client's Perspective)

If you are reading this, you are the client of a law firm using Lawmatics to grant you access to your client portal. Greetings! This article will walk through the basics of using your portal to view important information on your matter.

When your law firm has invited you to the portal you will receive an email prompting you to accept the invitation and create a password.

You will receive an email from [email protected], like the one shown below. The name "Dakota & Friends" in both the subject and email body will be replaced with the name of the law firm. "Perry's Matter" will be replaced with the actual Case Title, if applicable.

After you have accepted your invite, you will then be able to sign into your own portal dashboard to view details on your matter whenever you would like.

Your login is unique to you specifically, even if you are part of a joint matter, the other contact(s) will have their own separate login to their own portal. If a contact has multiple matters with portal access, those will all be found under the same login (as shown in #5 below).

Once you sign into your portal you will see a page similar to the one shown below.

What you can expect to see:

  1. Firm Logo

  2. Firm Name

  3. Contact Name and Matter Profile Picture

  4. Case Title

  5. All Matters with Portal Access for that Contact

What's possible in the portal:

    • See tasks that the firm has assigned to you that need to be completed along with the date the task is due.

    • Any tasks need to be assigned by the firm by having the toggle on for "Assign Task to Matter Contacts Share via Portal" to show in the Client Portal

    • View documents the firm has sent you for signature. You will have likely received your document via email as well, feel free to sign it from your email or from the portal. Signature requests will be found on the dashboard and the Files section. You'll be able to see the status of the signature request.

    • Signature Requests will automatically show in the Client Portal

    • File Requests are a list of specific documents the firm needs you to upload. You'll be able to see the status of the request.

    • Any File Requests need to be assigned by the firm by having the toggle on for "Assign File Request to Matter Contacts Share via Portal" to show in the Client Portal

    • View and fill out any forms that the firm has requested from you. You will have likely received your form via email as well, it can be accessed from the email or from within your portal.

    • Any Forms need to be assigned by the firm by having the toggle on for "Assign Form to Matter Contacts Share via Portal" to show in the Client Portal

    • View files that the firm has saved on your matter and upload files as per their request. These could be files that they have already received from you, or other files that they have uploaded on your matter.

    • Lawmatics users can share specific files from the matter's files section in-app.

    • Keep track of your upcoming appointments and tasks with the firm.

    • Appointments will automatically show in the Client Portal.

    • Any past and current invoices that the firm creates for you are visible in the portal.

    • The firm needs to use LMPay Payment Gateway and/or the Time & Billing add-on

    • Invoices will automatically show in the Client Portal.

    • The firm may send you messages with updates or information about your matter, view them in your portal.

    • Firms can initiate messaging from within the app.

  • Firm Info

    • View the firm's contact info such as address, phone number, and email address.

You are welcome to log in and out of your portal as you wish. After you have already accepted your invitation and accessed the portal, to login again you will simply return to the original invitation email that was sent to you, and click the Access Portal link.

FAQs

What if the I forgot their password?

On the portal login screen, there is a "Forgot My Password" option. Once you provide their email address, a Reset Password email will be sent to you from [email protected] with the subject "Reset password instructions", similar to the one below:

I keeps seeing an "Expired" error even though they've already logged in before.

You may be using the "Accept Invitation" link from the original invite email (in red below.) You'll want to use the "Access Portal" link instead (below in green,) or the firm can send you the portal login link (directly from the Firm Settings in-app.)
