Mail Sync - Connecting Microsoft Exchange with Lawmatics

Lawmatics can be integrated with Microsoft Exchange to automatically log email exchanges from your Exchange mailbox onto the matter page in Lawmatics. This integration streamlines your workflow by having all email conversations with leads and clients in one central place, right alongside your other communications in Lawmatics.

With Lawmatics Mail Sync, you also have the option to enable Send From My Outbox—ensuring emails sent through Lawmatics appear in your Exchange email client’s Sent/Outbox folder.

How Exchange Sync Works

Connecting your Microsoft Exchange account to Lawmatics creates a secure link between your email address and your Lawmatics workspace. This allows Lawmatics to reference email addresses against your contacts and matters, automatically logging any email sent to or received from a contact associated with a matter into that matter's timeline.

Each individual user on your Lawmatics account needs to sync their own Microsoft Exchange account from within their User Settings.


Steps to Connect Your Microsoft Exchange Account

  1. Log in to your Lawmatics account.

  2. Navigate to Settings > Mail Sync under your user profile.

  3. Select Microsoft Exchange from the list of available providers.

  4. Follow the on-screen prompts to enter your Exchange email address and password. You may also be asked for additional server information (such as domain, server address, or port), which you can obtain from your IT department or Exchange admin.

  5. Grant access for Nylas (Lawmatics’ secure third-party email integration provider) when prompted, to allow Lawmatics to sync your emails, contacts, and attachments.

  6. Once completed, you’ll be able to choose which options to enable:

    • Sync Emails: Log emails to/from contacts related to matters in Lawmatics.

    • Sync Attachments: Automatically save attachments as Files on their matters.

    • Send From My Outbox: Have emails sent via Lawmatics appear in your Exchange ‘Sent’ folder.

If you experience issues during the setup process, you can select the Other option to configure your Exchange connection manually.

Note: Some firms may have security or admin restrictions on Exchange accounts. If your account does not connect, please consult your IT administrator to ensure Lawmatics and Nylas are authorized connectors.


Additional Exchange Integration Features

Email Logging:
Any email where the sender or recipient matches a contact assigned to a matter in Lawmatics will be logged in that matter's activity timeline.

Attachments:
Enable Sync Attachments to automatically log and save relevant attachments to their respective matters. Lawmatics will avoid saving signature images, calendar invites (.ics), and duplicates to keep your records organized.

Send From My Outbox:
With this feature, all emails sent through Lawmatics will appear in your Exchange Sent folder, in addition to being logged in Lawmatics—keeping your communications centralized.

Quick Reply:
Quickly reply to logged emails directly from the matter timeline in Lawmatics by clicking the envelope icon.


Disconnecting Your Exchange Account

To disconnect your Microsoft Exchange integration, return to Mail Sync Settings and click the Disconnect button (top right). Future email logging will stop, but previously logged emails/attachments will remain in Lawmatics. Please contact support if you need to clear logged items.

Does my contact need to have a matter in Lawmatics for emails to sync?
Yes, the contact must be associated with a matter—either as primary POC or a related contact.

Will emails log if the contact uses a different address than in Lawmatics?
No, only emails to/from the primary email listed on the contact will sync.

How can I see which user emailed a contact?
Each logged email’s activity timeline shows the user’s email address who was involved in the exchange.

Will emails log for related contacts on a matter?
Only the main contact’s email address is used for logging. (You can update these settings in General Settings > Matters > Relationship Types.)

If a contact has multiple matters, how can I allocate emails?
Use the Lawmatics email assigning inbox to view/sort emails by contact and assign each email to the correct matter.
