Calendar Settings - Sync your Calendar to Lawmatics

Syncing your external calendar to Lawmatics will help you manage your appointments and unlock the powerful features of Appointment Requests and Booking Links.


Why Sync a Calendar?

If you want to allow clients to book their own appointments based on your availability, you'll need to sync a calendar. This enables:

  • Automatic placement of appointments onto your calendar

  • Customizable availability settings

  • Convenient self-booking tools for your clients


Calendar Sync is User-Based

The calendar sync is an individual user setting, meaning each user in your firm can sync their own calendar.

Even if you don’t plan on sending appointment requests or booking links yourself, we recommend syncing your calendar so another user can send on your behalf.


How to Connect Your Calendar

  1. Navigate to Settings > Calendar

  2. Click the Connect Calendar button

Select Your Calendar Provider

Choose your provider from the list:

  • Google Calendar (Gmail or GSuite)

  • Outlook / Microsoft Office 365

  • iCloud

If syncing an Office 365 calendar, make sure you have admin privileges. If not, share this link with your firm’s admin:

If syncing with iCloud, you'll need to generate an app-specific password.


Sign In and Authorize Access

After selecting your provider:

  • Agree to the Terms of Service

  • Log in using your calendar provider credentials (not your Lawmatics login)

Once completed, you’ll see a confirmation screen.

Choose Calendar Settings

If your external account has multiple calendars (e.g., Work, Personal, Holidays), you can:

  • Select one calendar to sync appointments to

  • Choose which calendars to pull availability from

Appointments booked through Lawmatics will appear on the “sync to” calendar.
Appointment Requests only offer times when you're free on the selected “availability” calendars.

Enable Two-Way Sync (Recommended)

Two-way sync allows Lawmatics to detect changes made externally.

It does not import all external events into Lawmatics. Instead, it ensures:

  • Appointments booked in Lawmatics appear on your external calendar

  • Updates made externally (e.g., edits or deletions) reflect in Lawmatics

Set Your Appointment Availability

This section controls when you're available for appointments via requests or booking links.

You can configure:

  • Working Hours

  • Lunch Breaks

  • Buffer Time

  • Rolling Booking Period

  • Start Interval

Use dropdowns to set daily working hours. Add multiple time blocks with the ➕ icon or remove days with the 🗑️ icon.

Availability Definitions

  • Lunch Hour: Daily block when you are unavailable

  • Time Before: How soon you can be booked (e.g., same-day, 1-day notice)

  • Buffer Time: Required time between appointments

  • Rolling Period: How far in advance someone can book you

  • Start Interval: Frequency of booking slots (e.g., every 15 or 30 mins)

Appointment Type Availability

You can set custom availability per appointment type (optional).

Sync or Unsync Existing Appointments

If you're just now syncing a calendar:

  • Sync Existing Future Appointments: Push them to your external calendar

  • Unsync Appointments: Remove existing synced Lawmatics appointments from your calendar

How long does it take for appointments to sync?
Syncing is nearly instant.


I booked an appointment but don’t see it on my calendar. What should I check?

  1. Confirm you're the meeting host

  2. Check the correct calendar account is selected

  3. Make sure you're viewing the “Sync Appointments To” calendar

  4. If needed, disconnect and reconnect your calendar

    Note: You'll need to reset your availability after reconnecting


I’m getting an error: “Automations that use Appointment Requests currently exist” when trying to disconnect.

You can't disconnect while appointment requests are active in automations. To safely disconnect, contact us at:
