Matter Auto-Numbering

Overview

Lawmatics makes it simple to create a custom automatic matter numbering template to keep your matters organized.

Every matter has the ability to be assigned a Case Number, which is a built-in system field. The case number appears at the top of each matter's profile near the case title and cannot be manually edited once assigned.

Enabling Auto-Numbering

Auto-numbering allows you to assign unique, identifying values to all of your matters without the need for manual setup.

Steps to Set Up Auto-Numbering:

  1. Navigate to Settings from the left-side navigation bar.

  2. Select Matters.

  3. Click on the Matter Numbering tab.

  4. Turn on the Enable Auto-Numbering toggle.

Once the toggle is turned on, you will see something similar to the image below.

Configuring Your Auto-Numbering Template

1. Selecting Matter Statuses

Choose which matter statuses should have auto-numbering applied:

  • Hired

  • PNC (Potential New Client)

  • Lost

  • Any combination of the above

2. Defining Numbering Settings

  • Select the starting number for the numbering sequence.

  • Choose how many leading zeros should be included.

3. Creating a Numbering Pattern

Customize your case number pattern by adding fields and text elements:

  1. Click the plus sign before or after the case number.

  2. Choose from available CRM fields to include in the case number.

  3. Add custom text by typing in the input box and clicking + ADD.

  4. Insert spaces using the provided option.

Examples of useful CRM fields for case numbers:

  • Matter’s Last Name

  • Practice Area

  • Month and Year the Matter was created

  • Any other relevant fields

Previewing Your Auto-Numbering Format

After saving your pattern:

  1. Use the Search Matter dropdown to preview the case number format for specific matters.

  2. Auto-numbering will automatically apply to any matters that match the selected matter status(es).


FAQs

What is the difference between the case title and the case number?

Case title is a manually entered and editable field in Lawmatics used to label your matters in an easy to understand way. Case number is an automatically assigned naming convention to uniquely identify each of your matters.
