Email Assigning Inbox

Overview

The Email Assigning Inbox allows your firm to log email exchanges to the correct matter when a contact has multiple matters. This ensures that all relevant email conversations are properly recorded in Lawmatics.

Syncing Your Email Account

Lawmatics allows users to sync their external email account so that all matter-related emails exchanged outside of Lawmatics automatically sync to the corresponding matter’s timeline.

Steps to Sync Your Email:

  1. Navigate to Settings.
  2. Select Mail Sync and follow the steps to connect your email account.
  3. Once synced, Lawmatics will attempt to automatically log emails to the correct matter.
  4. Emails that cannot be assigned automatically will appear in the Email Assigning Inbox.

Accessing the Email Assigning Inbox

  1. Click the envelope icon in the upper right-hand corner of the screen.
  2. The Email Assigning Inbox will display a list of emails that could not be assigned automatically.
  3. Review each email and decide whether to assign it to a matter or remove it from the queue

Assigning Emails to Matters

  1. Click the Assign to Matter button.
  2. A list of all matters related to that contact will appear.
  3. Click the title of the matter where the email should be logged.
  4. Click the green check mark to save the assignment.
  5. The email will now be logged in the matter’s timeline and removed from the queue.

6. When you click the Assign to Matter button, you will see a list of all matters pertaining to that contact, click the title of the matter that you wish to log that email on.

7. Once you have selected the matter make sure you click the green check mark to save it. The email will then be removed from your queue of emails needing assignment and will be logged accordingly.

Email Inbox Delegates

By default, users only see emails relevant to them, including both sent and received emails from their synced email account.

To allow another user (e.g., an assistant or intake staff) to manage email assignments:

  1. Navigate to Mail Sync in Settings.
  2. Edit the Email Inbox Delegates option.
  3. Select specific users or assign permissions based on custom user roles.
  4. These users will now see your unassigned emails in their Email Assigning Inbox.

Optional Use and Email Management

  • The Email Assigning Inbox feature is optional.
  • If you do not wish to assign an email, you can:
    • Ignore it.
    • Click the trash icon to remove it from the queue, skipping the logging process.

Using the Email Assigning Inbox ensures all email communications are accurately recorded, helping maintain a complete case history within Lawmatics.
