Email Assigning Inbox

If your firm has contacts with multiple matters, the email assigning inbox will allow you to delegate which of this contact's matters to log a particular email exchange on.

Lawmatics offers users the ability to sync their external email account, so that any emails exchanged outside of Lawmatics regarding a matter will automatically sync onto that matter's timeline within Lawmatics.

Once you have followed the necessary steps to sync your mail account in settings, you will then see an envelope icon near the top right of your screen, click this to access the Email Assigning Inbox.

In your Email Assigning Inbox you will see a list of any emails that could not be logged automatically.

As you review each email you then have the option assign it to a matter, or simply remove it from the queue of emails needing assigning by clicking the trash icon.

When you click the Assign to Matter button, you will see a list of all matters pertaining to that contact, click the title of the matter that you wish to log that email on.

Once you have selected the matter make sure you click the green check mark to save it. The email will then be removed from your queue of emails needing assignment and will be logged accordingly.

By default, you will only see matter-relevant emails pertaining to you as a user, both TO and FROM your synced email account.

You may wish to grant permission for another user, such as your assistant or intake staff, to assign these emails for you. If so, go to your Mail Sync page in settings and then edit the option for Email Inbox Delegates.

Select particular users who can access your email assigning inbox, and/or select from your custom user roles. The system will grant those users access accordingly so that when they go to the email assigning inbox they will see not only their own emails that need assigning, but also yours.

Note that just like the mail sync feature as a whole, using the Email Assigning Inbox is completely optional. If and when you go into the inbox to review these emails, if you see any that are not relevant or you simply do not wish to assign for whatever reason you are welcome to disregard them, or click the trash icon to remove that email from the queue, skipping the logging process all together.
