Neostella Integration

The Lawmatics – Neostella integration syncs a matter to Neostella at the point it converts to a Client. Lawmatics pushes data one-way (from Lawmatics to Neostella,) including the primary contact or company, the matter/project, its relationships, notes, and documents. Once connected, you control exactly when matters sync and how your Lawmatics fields map to Neostella.


Neostella Integration Settings

To access the Neostella integration settings:

  1. Sign in to Lawmatics.

  2. Click the Settings gear icon in the bottom-left corner of your account.

  3. Select Integrations.

  4. Click Neostella.

You will be asked for your Client ID and Client Secret (obtained from Neostella) in order to connect the integration.

After entering your credentials, click Save. On success, you'll see: "Neostella has been successfully connected to your Lawmatics Firm!" If the credentials are invalid, an error toast appears and the fields stay populated so you can correct and retry.

Once connected, the integration tile shows Connected, and the settings page displays your stored Client ID and Client Secret as masked values.


Sync Options

Four independent toggles appear after connecting:

Matter Conversion Sync

When Matter Conversion Sync Enabled is turned on, matters will automatically sync to Neostella when they are converted to a Hired client in Lawmatics.

This allows you to include Neostella syncing as part of your hiring workflow without requiring a manual sync action.

When you click the Convert button (or trigger it via automation), three things happen:

  • The matter is synced to Neostella

  • The matter status in Lawmatics changes to Hired

  • The matter is assigned a Converted Date

Matter Document Sync

Enable this setting to upload matter documents to Neostella when the matter is synced.

Matter Note Sync

Enable this setting to push matter notes to Neostella when the matter is synced.

Matter Relationship Sync

When enabled, other contacts linked to the matter (matched by relationship type name to a Neostella relationship field) are attached to the Neostella project.


Map Practice Areas

Settings > Integrations > Neostella > Map Practice Areas.

Each Lawmatics Practice Area must be mapped to a Neostella object type before any matter in that practice area can sync. If a practice area has no mapping, sync fails immediately (before any data is sent) with: "Practice area must be mapped to a Neostella object type before syncing."

If a previously mapped Neostella object type is later deleted or renamed on Neostella's side, the mapping row will show "Practice Area No Longer Exists. Please Remap."


Map Matter Fields

Map Matter Fields, scoped per Practice Area (or a General bucket for fields that aren't practice-area-specific). Select a Practice Area from the dropdown to map its fields.

  • Case Title always syncs to the Neostella project's Name field automatically

  • If a Practice Area bucket has no fields exclusive to it, the table shows: "No fields are restricted to this object type."

Main POC

Every Neostella project has a field that holds its primary contact — different firms name it differently (Client, Plaintiff, Customer, etc.). The Main POC mapping tells Lawmatics which Neostella field is that "primary contact" field.

  • Mapping a General Main POC is required. This is the baseline relationship field used for every matter, in every Practice Area that doesn't have its own override. Without it, no matter can sync.

  • A Practice Area can optionally override it. For example, pointing personal injury matters at a Plaintiff field while everything else uses the General Client field.

  • When a Practice Area override exists, it wins over General for matters in that Practice Area.

Tip: Map the General Main POC first, before configuring any Practice Area overrides. If the General Main POC hasn't been mapped and the matter's Practice Area has no override, sync fails immediately with: "Main point of contact must be mapped to a Neostella project field before syncing."


Map Contact & Company Fields

Map Contact Fields and Map Company Fields. Neostella has a smaller built-in field set than most other Lawmatics case-management integrations:

  • Contact (person): First Name, Last Name, Primary Email, Primary Phone Number

  • Company: Company Name → Neostella's Legal Name field, Primary Email, Primary Phone Number

Any additional fields available depend on what Neostella exposes for your firm's account.


Syncing Matters to Neostella

Once your integration settings and mappings are complete, matters can be synced to Neostella in two ways:

Manual Sync

Click Sync to Neostella at the top of a matter once required fields are populated.

Automatic Sync via Conversion

If Matter Conversion Sync Enabled is turned on, clicking Convert will automatically sync the matter to Neostella.

Clicking Sync on a matter that has already been synced will update the existing case in Neostella, not create a duplicate.

Once Matter Conversion Sync Enabled is on, converting a matter runs the following sequence:

  1. Practice area check — fails immediately, if unmapped.

  2. Main POC check — fails immediately, if there's no Main POC mapping (Practice Area or General).

  3. Contact or Company is created or updated on Neostella. Lawmatics checks for an existing Neostella contact by email first to avoid duplicates.

  4. Matter/Project is created or updated, including the primary contact link through the Main POC field.

  5. Relationships (if enabled) — other linked contacts are attached to the project.

  6. Notes (if enabled) — any not-yet-synced note is pushed to Neostella.

  7. Documents (if enabled) — any not-yet-synced document is queued for upload via a background job.


Disconnecting

Settings > Integrations > Neostella > Disconnect. You'll be asked to confirm: "Are you sure you want to disconnect Neostella from Lawmatics? This will reset all configured Neostella settings."

Disconnecting clears your stored credentials and turns off the connection, it does not delete anything already synced to Neostella.


FAQs

Why is my matter failing to sync with "Practice area must be mapped to a Neostella object type before syncing"?

The matter's Practice Area hasn't been mapped to a Neostella object type yet. Go to Settings > Integrations > Neostella > Map Practice Areas and add a mapping for that Practice Area, then retry the sync.

Why is my matter failing to sync with "Main point of contact must be mapped to a Neostella project field before syncing"?

Neither a General Main POC nor a Practice-Area-specific override has been mapped for that matter's Practice Area. Map a General Main POC under Map Matter Fields first, then add Practice Area overrides as needed.

Why isn't the Main POC automatically mapped to Neostella's "client" field for the General practice area?

Neostella doesn't standardize this across firms. Some firms use a field called client for their primary contact (others use plaintiff, customer, or something else entirely.) Because there's no reliable default, each firm maps its own Main POC during setup.

Why aren't my documents or notes showing up in Neostella?

Check that Matter Document Sync Enabled or Matter Note Sync Enabled is turned on. Documents uploads are rate limited, so large batches may take a few minutes to fully appear.

Why isn't a contact's phone number syncing?

Phone numbers must be valid in E.164 format to sync. If a number can't be validated in that format, it's dropped from that sync rather than failing the entire contact or matter sync, check the number's formatting in Lawmatics and resync the matter.

I remapped a Practice Area's Neostella object type, but the mapping shows "Practice Area No Longer Exists. Please Remap." What does that mean?

The Neostella object type that was previously mapped was deleted or renamed on Neostella's side. Go back into Map Practice Areas and select a current object type to re-map it.
