Merlin Copilot

What is Merlin Copilot?

Merlin Copilot is your AI assistant inside Lawmatics. Describe what you need, and Copilot finds the answer, pulls the report, or builds the automation for you. Copilot is also available in the Lawmatics mobile app.

What Copilot can help with

Analyze your firm’s data

Ask Copilot about your firm in plain language, like conversion rates, lead trends, or what’s still in the pipeline. Each answer includes a chart and a breakdown, and How We Got Here shows every step Copilot took so you can check its work.

If a question could be read more than one way, Copilot asks you to clarify before it runs. Once you have an answer, ask for a different chart or a different breakdown, or ask Copilot to build it into a report.

Try a conversation:

  1. Show conversion rates by marketing source this year, counting a matter as converted when its status is Hired.

  2. Show the same numbers by matter owner.

  3. Change this to a bar chart.

Example prompts:

  • Compare new leads last quarter to the same quarter last year.

  • Show new leads by practice area for the last 90 days.

  • List the leads that have been open the longest without being hired or lost.

  • Build a report of matters created in the last 30 days with their stage, matter owner, and marketing source.

Create Routines

Some answers are worth seeing on a schedule. A Routine is a Copilot request that runs at the times you choose and sends you the result. Tell Copilot what you want and when, and it drafts the Routine with a name, what it’ll do, and the schedule. Edit anything that needs changing, then create it. You can also save an answer you like as a Routine.

To create one, navigate to Merlin > Routines and click “Ask Copilot for a Routine.”

When a Routine runs, you get a notification, and the result opens in Copilot. Routines are personal, and each user manages their own by navigating to Merlin > Routines.

You can also set up and manage Routines from the mobile app. Open Merlin, choose Routines, and tap “Ask Merlin for a Routine.” Tap an existing Routine to pause, resume, run now, reschedule, or delete it:

Try asking:

  • Every workday at 9 AM, send me a briefing on today’s appointments and tasks.

  • Every Friday morning, show me new leads created this week.

  • At the start of every month, total the estimated value of leads that didn’t convert last month.

Tips:

  • Be specific. A Routine runs without you there to answer follow-up questions, so include the timeframe and how to count things.

Build automations

Describe the workflow you want, and Copilot builds it, so you don’t have to set up every trigger, filter, and step by hand. Before anything is saved, Copilot shows a preview of the trigger and each action. To adjust it, click “Change automation” and describe the change. Once it looks right, name it, and it’s added to your automations list. New automations are created inactive, so nothing goes out until you turn it on.

Not sure how to set something up? Use Copilot as a sounding board. It suggests an approach based on best practices, points out things you might not have thought of, like exit conditions, and asks a few questions about your setup. From your answers, it can build a starting point or the whole automation.

Try a conversation:

  1. Build an automation that texts the client a thank-you when their matter’s status changes to Hired.

  2. Add a sign-off from the firm to the text.

  3. What exit conditions should this automation have?

Example prompts:

  • When a new matter is created from our website contact form, email the lead our intake form.

  • When a matter moves to the Retained stage, send the client our welcome email.

  • Help me plan a follow-up sequence for leads who don’t book a consultation.

  • What’s the best way to follow up with leads who go quiet after the first call?

Find and update matters

Find a lead, check their details, or jump to their matter in one sentence. Copilot shows a card with the key details and can take you straight to the matter page. It keeps track of the conversation, so you can keep asking about the same matter without repeating the name. If you have a matter open, Copilot uses it as context.

To update a matter, tell Copilot what to change. Nothing is saved until you approve it. Copilot shows a preview with the old value crossed out next to the new one, and you click “Apply” to save. Changes show on the matter’s activity timeline, marked as made through Copilot.

Try a conversation:

  1. Find the matter for Callie Flores.

  2. Summarize this matter.

  3. When is the next appointment on this matter?

  4. Change the lead attorney to Devon.

  5. Increase the estimated value by 30%.

Example prompts:

  • Show our latest lead.

  • List our 20 most recent matters with their estimated value.

  • Change the practice area on this matter to Family Law.

  • Set the estimated value on this matter to $15,000.

Search your templates

When a fee, a policy, or a merge field changes, you need to find every template that uses it. Copilot searches your firm’s email templates, SMS templates, documents, and automations, then groups the results by type.

You can search for a merge field or for plain words. Click “Open” to go straight to each one and update it.

Example Prompts:

  • Find every template that uses the consultation date merge field.

  • Find every email and document that mentions our $250 consultation fee.

  • Which templates mention our office address?

  • Find all SMS templates that mention “free consultation.”

  • Find templates that mention our old office on Main Street.

How each role can use Copilot

Not sure where to start? Find your role and try one of these:

Firm owners and managing partners

You need to know whether the firm is growing and where the money is coming from. Copilot answers those questions in plain language, with a chart and the steps behind every number.

  • Compare new leads and hires this quarter to the same quarter last year.

  • Show conversion rates by matter owner this year, counting a matter as converted when its status is Hired.

  • Total the estimated value of leads that haven’t converted this year.

  • At the start of every month, show me last month’s new leads and hires by practice area.

Attorneys

Your time goes to clients, not clicking through records. Copilot summarizes a matter, finds your next appointment, and sends you a daily briefing so you start the day prepared.

  • List open matters where Johnny is the lead attorney.

  • Summarize this matter.

  • Change the lead attorney on this matter to Matt.

  • Every workday at 9 AM, send me a briefing on today’s appointments and tasks.

Intake

Speed matters when a new lead comes in. Copilot pulls up your latest leads in seconds and flags the ones that have been waiting too long.

  • List today’s new leads with their marketing source.

  • Show our latest lead.

  • List the leads that have been open the longest without being hired or lost.

  • Every Friday morning, show me new leads created this week.

Marketing

You need to know which marketing sources bring in hires, not just leads. Copilot breaks down conversion and cost per hire by source and keeps your messaging consistent across every template.

  • Compare this month’s new leads to last month’s, by marketing source.

  • Show the cost per hire by marketing source this year.

    • Note: Cost per hire uses the marketing spend entered in Marketing Settings.

  • Find every email that mentions “free consultation.”

  • At the start of every month, show me last month’s new leads by marketing source.

Paralegals and case managers

You keep matters accurate and moving. Copilot finds a matter by name, updates details with a preview before anything saves, and tracks down every document that needs changing.

  • Find the matter for Erika Burns.

  • Change the practice area on this matter to Estate Planning.

  • Find every document that uses the consultation date merge field.

  • Every weekday at 4 PM, send me a rundown of tomorrow’s appointments and my assigned tasks.

Operations and admins

You keep the firm’s systems running. Copilot builds automations from a description, spots matters missing an owner, and finds every template that needs updating when something changes.

  • Build a report of open matters by stage and matter owner.

  • List matters created in the last 30 days that don’t have a matter owner.

  • Help me plan a follow-up sequence for leads who don’t book a consultation.

  • Find every template that mentions our office address.

Tips for better results

  • Be specific. Include a timeframe, a matter name, or how to count something, like “counting a matter as converted when its status is Hired.” Without a timeframe, Copilot looks at all of your firm’s data.

  • Keep going. Follow-ups like “show that by month” or “change it to a bar chart” build on the last answer.

  • Use one conversation per topic. Start a new conversation when you switch subjects.

  • Ask anyway. If you’re not sure Copilot can do something, ask. If it can’t, it tells you and offers to submit a feature request.

Help grow copilot

Every Copilot response has thumbs-up and thumbs-down buttons. Use them to tell us what’s working and what isn’t. If an answer is wrong or isn’t what you expected, give it a thumbs-down. We see the response along with the conversation behind it.

When you ask Copilot for something it can’t do, it offers to submit a feature request for you. Accept it to let us know you’d use it. Your feedback directly shapes what we build next.

Pricing and seats

Each user needs an assigned Copilot seat to use Copilot. There are two seat types:

  • Lite: $29 per seat per month, with a monthly usage allowance

  • Pro: $49 per seat per month, with no allowance cap

Your firm can buy any number of either seat type. To buy seats or change a seat’s tier, reach out to your Account Manager or our support team.

Check your usage

Navigate to Settings > Billing and scroll to the Merlin Copilot section. It shows how many Lite and Pro seats are assigned, and the Seat Usage Breakdown shows how much of its monthly allowance each Lite seat has used this billing cycle:

How much usage a request takes depends on the task and how much data Copilot needs to analyze. Routines, frequently building large automations, and frequently analyzing all of your firm’s data use more.

When a Lite seat reaches its allowance, the breakdown shows Limit reached and the date the allowance resets. Allowances reset with your billing cycle. A user on a Lite seat who hits the limit can request an upgrade to the Admins to move them to a Pro seat. If your firm doesn’t have an open Pro seat, contact your Account Manager or our support team.

Assign or reassign seats

  1. Navigate to Settings > User Management. The Copilot Seats section shows how many Lite and Pro seats are assigned and available.

  2. In the Team Members list, click the edit icon next to the user.

  3. Under Merlin Copilot Access, select “Lite” or “Pro.”

  4. Click “Save.”

If no seats are available, free one up first. Edit the user who has the seat, select “No access,” and save. Then assign the seat to the new user.

Assigning or moving a seat doesn’t change your payments. Usage stays with the seat when it’s reassigned, so moving a seat doesn’t reset its allowance.

FAQs

Do I need a seat to use Copilot?
Yes. Each user needs an assigned Lite or Pro seat. An admin can assign seats in Settings > User Management.

Can I use Copilot on my phone?
Yes. In the Lawmatics mobile app, tap the Merlin icon in the center of the bottom bar. Building automations is only available on the web.

Should I use Copilot or a custom report?
Copilot is for questions you’d ask in plain language, whether once or on a schedule with a Routine. Custom reports are for fixed views your team opens and filters themselves.

Will Copilot change anything without asking me?
No. When Copilot updates a matter, it shows a preview, and nothing is saved until you click “Apply.” New automations are created inactive, so nothing goes out until you turn them on.

Can Copilot make mistakes?
Yes. Like any AI tool, Copilot can get things wrong, so verify important information. For data questions, How We Got Here shows every step Copilot took so you can check its work. If an answer is wrong, give it a thumbs-down so we can see what happened.

Why can’t Copilot find a matter or show billing information?
Copilot follows each user’s permissions, so it only shows what you can already see in Lawmatics. If you can’t access a matter, Copilot can’t either. Without Time & Billing access, Copilot can’t show time and billing data, such as hours billed by staff or hourly invoices, but it can still show payments collected through forms, like paid consultations. Without the Trust Account permission, trust balances are hidden, and Copilot tells you why.

Why can’t Copilot read or do something I asked for?
Copilot works with your firm’s matters, contacts, and reporting data, and it’s adding new abilities regularly. When it can’t do something you ask, it tells you and offers to submit a feature request. Accept it, and use the thumbs-up and thumbs-down buttons on responses so we know what to build next.

Can other people see my Routines?
No. Routines are personal, and each user manages their own.

What happens when a Lite seat reaches its allowance?
The user can still open their past conversations but can’t send new requests until the allowance resets with your billing cycle. You can see each seat’s usage and reset date in Settings > Billing. To move a user to a Pro seat, which has no allowance cap, ask an admin or contact your account manager.

If I switch a Copilot seat from one user to another, does the usage reset?
No. Usage stays with the seat, not the user.
